How to Transfer Documents from Phone to Computer

Move Word, Excel and PowerPoint files from a phone to a computer without changing them — and why a Google Doc will not transfer until you export it.

Word files, spreadsheets and presentations are the awkward ones. A phone will usually open them and can rarely do anything useful with them, so a document that has landed on a phone — attached to a message, downloaded from a portal, exported by an app — has to reach a computer before any real work happens to it.

The complication is that documents are not like photographs. Nobody minds much if a picture is re-encoded slightly. A spreadsheet that loses its formulas, or a proposal whose fonts have been substituted, is a different kind of problem. So the question for documents is not just how do I move this but what will still be true when it arrives.

Carried, not converted

The distinction that matters: some routes move the file and some routes re-export it. A route that moves the file gives you back exactly what you sent — fonts, styles, formulas, tracked changes, comments, macros and all. A route that re-exports it gives you something that looks similar and is not the same document.

Email attachments, cloud storage, a USB cable, AirDrop, Quick Share and a browser transfer all move the file. The routes that quietly re-export are the ones that go through an editor: opening a .docx in a mobile app and using its own Share or Export, or letting a cloud service “open with” its own word processor before you download. If formatting fidelity matters, avoid the round trip through an editor you did not intend to use.

The Google Docs trap

This one catches almost everybody once. A Google Doc, Sheet or Slide is not a file. It has no bytes sitting in Drive waiting to be downloaded — Google generates a document on the way out, in whatever format you ask for. That is why a file picker will not offer you one to transfer, and why a Google Doc has no size on disk.

The fix is one extra step. In Google Docs: File → Download → Microsoft Word (.docx), or the Excel or PowerPoint equivalent. Now you have a real file, and it moves like any other.

The same is true in reverse for anything exported from a web app — export first, transfer second.

Which formats travel

Worth knowing about the checking, because it explains a refusal you might otherwise find baffling. A .docx is a ZIP archive with a particular structure inside it — and so is a .jar, and so is an .apk. “It is a ZIP” is therefore not an answer on its own. A file that is not what it claims to be is refused rather than delivered, which is the behaviour you want on the receiving end of a transfer.

Four ways to move a document

A browser and a QR code

Open the document transfer page on the computer, point the phone’s camera at the code, and choose the files — from the Files app on iPhone, from Files or Drive on Android. They arrive on the computer with their type showing, ready to download, up to 25 at once. Nothing is installed on either device and the two do not need to be on the same network.

Email to yourself

Fine for a single document, since most office files are well under the 25 MB attachment ceiling — a long Word document is typically one or two megabytes. A presentation full of images is the exception and will often exceed it.

Cloud storage

The right answer when the document needs to live somewhere anyway, or when more than one person will touch it. The cost is waiting for sync, and the habit of accumulating files you only ever wanted to move.

A USB cable

Best for volume — a folder of fifty documents rather than one. On Android, remember to switch USB mode from charging to file transfer after plugging in.

Once the document is on the computer

The most common next step by a wide margin is turning it into a PDF — for sending on, for signing, or because the other side asked for one. After that, the usual chain applies: sign it, merge it with a covering letter, compress it if it has to be emailed, or put a password on it if it is confidential.

How do I transfer a Word document from my phone to my computer?

Will the formatting change?

Not directly, because there is no file to send. Use File → Download and choose Word or Excel first; the exported .docx or .xlsx transfers normally.

Can I send an Excel file with macros?

A .xlsm is not on the carried list, so it will be refused. Save a copy as .xlsx if the macros are not needed, or move it by cable or cloud storage if they are. This is a deliberate line rather than an oversight — a macro-enabled workbook is executable content.

How many documents can I send at once?

Up to 25 files in one transfer and 150 MB across the session by default, which is comfortably more than an email attachment allows.

Do both devices need to be on the same Wi-Fi?

No, and that is the main practical difference from AirDrop and Quick Share. The route runs over the internet rather than over the air between two nearby devices, so the phone can be on mobile data and the computer on office ethernet with no relationship between them at all. The short-lived drop box in the middle clears itself after about ten minutes, or the moment you clear the list.
