How to Transfer Files from Phone to Computer

Seven ways to get files off your phone and onto your computer — cable, email, cloud, AirDrop, Quick Share and a QR code — and when each one is right.

The file is on the wrong device. It is a photograph you took for a report, a PDF a client sent to your phone, a spreadsheet you downloaded on the train. Everything you need to do with it lives on a computer, and there is a gap of about a metre and a surprising amount of friction in between.

There are at least seven ways to close that gap, and they are not interchangeable. This is a plain comparison of all of them — what each one is genuinely good at, what it costs you, and the particular way each one fails.

The thirty-second version

  1. Open Pixpoo Bridge on the computer and choose what you are moving — images, a PDF, or a document.

  3. Tap the notification, pick your files on the phone, and watch them land on the computer.

That covers it for most people. The rest of this article is about the other six routes, and the situations where one of them is genuinely the better choice.

Seven ways to move a file

1. A USB cable

The oldest method and still the fastest for bulk. If you are moving 4,000 photographs or a two-hour video, nothing beats a wire — you are limited by the drive, not the network.

What it costs you is setup. You need the right cable, which on a modern laptop often means the right cable and an adapter. An Android phone connected to Windows has to be switched from “Charging” to “File transfer” in the notification shade, which is not obvious and is easy to miss. An iPhone connected to Windows shows you a DCIM folder full of cryptically named files and nothing else. An Android phone connected to a Mac shows you nothing at all without extra software.

Use it when: you are moving a lot of data, or the file is enormous.

2. Emailing it to yourself

Universally available and requires no thought, which is why everybody has done it. It is also the method with the hardest ceiling: most mail servers refuse attachments over 25 MB, and several refuse anything they consider executable regardless of size.

The subtler cost is that a thirty-second job becomes a round trip through an inbox. You compose, you send, you switch devices, you wait, you find the message among everything else that arrived, you download. And you are left with a permanent copy of the file in two mailboxes.

Use it when: the file is small, you need a record of having sent it, or you are on a locked-down machine where nothing else is allowed.

3. Cloud storage

Google Drive, Dropbox, OneDrive and iCloud all work, and they are the right answer when the file needs to exist in more than one place anyway. Upload from the phone, open the folder on the computer.

The friction is that you are storing a file you only wanted to move. Free tiers fill up, sync clients pick their own moment to catch up, and a file that has uploaded from the phone is not necessarily visible on the desktop yet. If you have ever stared at a folder waiting for a spinner to finish, you know the feeling.

Use it when: the file belongs in your cloud anyway, or several people need it.

4. AirDrop

Excellent, and only between Apple devices. iPhone to Mac is genuinely the best experience on this list: fast, direct, no accounts, keeps full quality. Both devices need Wi-Fi and Bluetooth on and have to be near each other.

It stops existing the moment one end is a Windows PC or an Android phone, which for most households and nearly every office is most of the time.

Use it when: both devices are Apple and in the same room.

5. Quick Share

Android’s answer to AirDrop, formerly called Nearby Share. Android to Android is smooth, and there is a Windows app that makes Android-to-PC work well once it is installed and signed in.

Same shape of limitation, mirrored: no iPhone, and the devices need to be close to each other. If your phone and your computer are in different buildings, proximity-based sharing has nothing to offer.

Use it when: both devices are Android, or you have already set up the Windows app.

6. A messaging app

WhatsApp, Telegram, Slack, or a message to yourself. Fast, familiar, and works across platforms, which is why it is so tempting.

It is also the method most likely to quietly damage what you sent. Most chat apps re-compress photographs and video to save bandwidth — the picture that arrives is smaller, softer, and usually stripped of the camera data that was in it. Telegram and Slack will send an uncompressed original if you explicitly choose “send as file”, and almost nobody does.

Use it when: the file is a document rather than a photograph, and it is going to a person rather than to yourself.

7. A browser and a QR code

The newest option, and the one that needs the least from either device: both already have a browser. You open a page on the computer, scan the code with the phone, and choose your files. There is nothing to install, no account, and no dependence on the two devices being the same brand or in the same room.

This is what Pixpoo Bridge does, and it is worth understanding the trade it makes. Unlike AirDrop, the two devices never talk to each other; a short-lived drop box on the server sits between them. That is the reason it works where proximity sharing does not — the phone can be on mobile data in a car park while the computer sits on a wired network three floors up. The price is that the file passes through a server for the minute or two it takes, rather than going straight across the room. What limits the exposure is that the drop box has a one-time key printed in the QR, only one phone can claim it, and it deletes itself on a timer measured in minutes.

Use it when: the two devices are different platforms, are not near each other, or you simply do not want to install anything.

The honest summary: use a cable for bulk, use the cloud for things that need to be stored, use AirDrop or Quick Share when both devices are the same family and within arm’s reach, and use a browser transfer for everything else — which turns out to be most of the time.

Four things that go wrong, and why

The photograph arrived smaller than it left. A chat app re-compressed it. Send it as a file rather than as a photo, or use a method that moves the file rather than a rendering of it.

The email bounced. You crossed the 25 MB attachment limit. Compress the file first, or move it a different way — a browser transfer carries 150 MB in a session by default.

Windows will not show the phone’s files. On Android, pull down the notification shade after plugging in and switch the USB mode from charging to file transfer. On iPhone, tap “Trust This Computer” when it asks, then look in DCIM.

The file is on the phone but not in the cloud folder yet. Sync is asynchronous. It will arrive; the question is when. If you need it now, move it directly instead.

Common questions

How do I transfer files without a cable?

Any of methods two to seven above. The one with the fewest prerequisites is a browser transfer: open Pixpoo Bridge on the computer, scan the QR code with the phone, choose the files. Nothing to install on either side.

Can I transfer from an iPhone to a Windows PC?

Yes, but not with AirDrop. A cable works if you only need photographs from DCIM. Cloud storage works. A browser transfer works and is the least trouble, because the transfer happens between two browsers rather than between two operating systems.

How many files can I send at once?

It depends on the method. A cable has no meaningful limit. Email stops at one attachment of about 25 MB. Pixpoo Bridge carries up to 25 files and 150 MB in one session by default.

Is it safe to transfer files through a website?

It depends entirely on what the website does with them, so it is worth asking. With Pixpoo Bridge the files are held by a temporary session that is reachable only through the code in the QR, can be claimed once by one phone, and expires by itself after ten minutes by default. The files are deleted when the session ends or when you clear the list, and there is no account for them to be attached to. For anything genuinely sensitive, put a password on the document before it travels.

Yes. Switch the direction and the order reverses: choose the files on the computer first, then scan the code that is generated for them. It is the quickest way to get a boarding pass, a ticket or a finished export onto the device that will actually be carrying it.
